TERMS & CONDITIONS

This document outlines the terms and conditions governing the booking of holiday accommodation at Holly Tree Lodges.


1. THE CONTRACT

The contract for a short-term holiday rental is made between the Guest and Holly Tree Lodges. The contract is entered into once we issue your booking confirmation. The person making the booking must be at least 18 years of age.

 


2. BOOKING & PAYMENT

Bookings are managed via our online booking engine, SuperControl.

  • Deposit: A deposit of 25% of the total booking cost is required at the time of booking to secure your lodge.
  • Balance: The full remaining balance must be paid no later than 30 days prior to your arrival date.
  • Last Minute Bookings: For bookings made within 30 days of arrival, the total cost is payable in full at the time of booking.

 


3. CANCELLATION POLICY

We strongly recommend that guests take out independent travel insurance to cover unforeseen circumstances.

  • Guest Cancellation: If you cancel more than 30 days before arrival, the deposit is non-refundable. If you cancel within 30 days of arrival, the full booking amount is non-refundable unless we are able to re-let the lodge for the same period.
  • Owner Cancellation: In the rare event that we must cancel your booking due to circumstances beyond our control, a full refund of all monies paid will be issued.

 


4. ARRIVAL & DEPARTURE

  • Check-in: Lodges are available from 4:00pm on the day of arrival.
  • Check-out: Lodges must be vacated by 10:00am on the day of departure to allow for cleaning.

 


5. GUEST RESPONSIBILITIES

  • Occupancy: The number of guests must not exceed the maximum capacity stated for your specific lodge.
  • Pets: Pets are only permitted in designated pet-friendly lodges (maximum of 2 dogs). They must be kept on a lead in communal areas and never left unattended in the lodge.
  • Smoking/Vaping: Strictly prohibited inside all lodges. Please use designated outdoor areas and dispose of waste responsibly.
  • Noise: Please respect the quiet nature of our site. Quiet hours are between 10:00pm and 8:00am.
  • EV Charging: The use of domestic lodge sockets to charge electric vehicles is strictly prohibited. Please use our dedicated on-site EV charging facilities.

 


6. HOT TUB & SAUNA SAFETY

The use of private hot tubs and saunas is at the guest’s own risk.

  • Guests must shower before use.
  • Children must be supervised at all times.
  • Glassware is not permitted in or near the hot tub.
  • Pregnant women and persons with certain medical conditions should consult a doctor before use.
  • We reserve the right to close the hot tub/sauna for essential maintenance or water treatment at any time.

 


7. DAMAGES, BREAKAGES & SECURITY DEPOSIT

Please treat our lodges with care. Any damage or breakages must be reported to us immediately. We reserve the right to charge for any damage, loss, or additional cleaning required beyond reasonable use.

A refundable security deposit of £250 will be pre-authorised on the payment card used to make the booking. This pre-authorisation will be processed approximately 2 days prior to your arrival date.

Provided that no damage, loss, or excessive cleaning requirements are identified following your departure, the pre-authorisation will be released 2 days after your departure date. Holly Tree Lodges reserves the right to charge part or all of the security deposit should damage, loss, or additional cleaning be required.

 


8. LIABILITY

Holly Tree Lodges shall not be held liable for any loss or damage to guests’ personal property or for any personal injury unless caused by our proven negligence.
